Spot PMO Support for companies operating in the UAE.
Keep projects moving, even where no in-house PMO exists.
We deliver progress control, issue management, vendor coordination and executive reporting through a two-person operating model.
Whether you run a local subsidiary, a multinational team, or a structure spanning Japanese and overseas head offices, we support operations regardless of the form your presence takes.
Do any of these
sound familiar?
Recurring execution gaps we see at UAE-based operations of companies expanding into the region.
-
No dedicated PMO at the local site.
Operations run with no one bridging head-office direction and on-the-ground execution.
-
Vendor management depends on individuals.
The project stalls the moment a particular team member steps away.
-
Reporting to leadership and head office consumes too much time.
More effort goes into preparing materials than into actually driving the project forward.
-
DX and security initiatives stall at the planning stage.
The plan is in place, but the move into execution never happens — and time keeps slipping.
We close the execution gap
between stakeholders.
For UAE-based subsidiaries, multinational project teams, and
organisations whose head offices span Japan and other regions,
we provide a light-footprint but execution-focused PMO service.
We set up meeting governance, issue and risk management, vendor coordination and executive reporting in formats your teams can actually use,
and stay engaged until the operating model is embedded.
What we deliver.
The items below represent our core menu. Pick only the areas you need; scope, hours and deliverables are tailored flexibly through an SOW.
Retainer, spot and hybrid engagement structures are all available — talk to us about the right fit.
Progress, issue and risk management
We set up the weekly operating cadence, the issue log and action tracking. Frequency and depth are adjusted to suit each project phase.
Vendor coordination and meeting design
We structure the discussion points, run the meetings and capture decision logs. The number of meeting bodies and working language are designed around your requirements.
Test and migration plan drafting
We produce the planning skeleton needed to move into execution. Document granularity is tuned to the scope and the audience.
Light-touch DX and security operations setup
We organise operating rules and reporting materials. The target processes and depth of policy work are tailored to your organisation’s maturity.
A two-person model that splits delivery and coordination.
The allocation below is one illustrative example. Weekly hours and primary remit
for both WM and KY can be adjusted flexibly as the project moves through different phases.
Workstream Manager
e.g. 24 hours / week
Leads English-language stakeholder coordination, runs meetings and drives on-the-ground operations. Acts as the day-to-day point of contact for multinational vendors and local staff.
PMO Lead
e.g. 16 hours / week
Leads PMO design, issue and risk control, planning and executive-level reporting. Sets up the reporting framework for the Japanese head office and senior leadership.
Engagement and operating hours.
We design the operating window around the time zones of your head office, local site and vendors —
JST-anchored coverage, overlapping local hours, after-hours support and similar arrangements.
Beyond a single fixed “committed window”, coverage can also shift between phases.
Approximate scope of a 40-hour-equivalent monthly retainer (illustrative)
- Two-person delivery split between WM and KY
- Weekly progress and issue management cadence
- Executive and head-office reporting materials
- Vendor coordination and meeting governance
- Coverage across both JST and GST hours
Pricing is set per SOW.
Actual fees are quoted based on scope, team composition and duration.
The example above illustrates a retainer equivalent to roughly 40 hours per week.
Short-term spot engagements, monthly retainers and hybrid structures that change as the project moves between phases are all possible —
we tailor the contract form to your situation.
Note: after-hours release attendance, urgent response and on-call coverage can be added under a separate SOW.
Frequently asked questions.
How is this different from a secretarial service?
This is not administrative outsourcing. It is a PMO service specialised in driving and governing project delivery — meeting governance, issue and risk management, vendor coordination and executive reporting, all delivered at the execution layer.
Can you participate in English-language meetings?
Yes. We support coordination work that takes place in English, including running meetings with multinational vendors and producing the minutes — both are part of our standard service.
How quickly can we start?
Typically within two to three weeks of requirements being agreed. Please get in touch if you need urgent mobilisation.
Are the service contents and operating hours fixed?
No. The menu and hours are tailored each time to the deliverables, meeting bodies and time windows you actually need. We can also propose several options at the consultation stage.
What contract structures do you offer?
Three main forms: a monthly retainer, a phase-based spot engagement, and a hybrid of the two. We also accommodate changes to the team set-up as a project moves between phases.
Can you support sites outside the UAE?
Our primary focus is the UAE site, but where your head office spans Japan and other regions, we can extend support to coordination across the relevant locations.
Tell us about your project, first.
In a 30-minute online consultation, we map out your current challenges and the ways we could help. NDAs can be put in place beforehand if preferred.
